Researcher's Summary:

Zoho Projects is touted as a project management platform designed to help users streamline operations with automation, customization and collaboration. With over 4.5 million projects on Zoho across the globe, I had to see if it lives up to the hype.

Diving in, the first thing I loved was the setup, especially because the onboarding screens allow you to customize per your industry, team size and features to narrow down the templates they’d show you. You can choose from generic Zoho project templates, a blank template, and custom ones like Digital Marketing.

Since I tested Zoho’s CRM earlier, I found the UX intuitive and easy to navigate. So, for Zoho One users, it should be fairly simple to get the basics up and running, like figuring out how to add preset additional fields to tasks using the list view.

However, I needed help to add truly custom fields, and you need to head to “Setup” to make any meaningful changes. Creating custom statuses was also a bit tricky, the customize status icon is teeny and easy to miss. Once you zero in on it, it’s easy to change. On the plus side, I did like that they have a pop-up showing if you have unsaved changes.

One of my favorite things about Projects is that you can create task list templates, so instead of, say, creating an event and then adding tasks like calling vendors, curating the guestlist, or creating a form for volunteers individually, you can add the entire task list from your templates and modify it accordingly.

Automations are front and center, not hidden away. I thought it was easier to use the templates to modify automations and found it a bit tricky to create your own from scratch. A visit to the help center cleared up how to create an automation for status changes. The good news for all the coders, you’re not limited by set functions–you can create custom functions using code.

I appreciated the timesheet feature, you can track time in task cards and also add if they’re billable or non-billable so it’s easy to export timesheets, send invoices and create accurate task estimates. There’s a handy dashboard tab in the project so you can see task status, overdue projects, timesheets, task progress, and reports for workloads and tasks which you can customize by person, team, task status and roles. On the communication front, it's easy to collaborate using comments, Zoho Cliq and native integration with Zoho Meeting.

For me, the biggest advantage Zoho Projects has over its competitors is its price point. Wrike ClickUp, monday.com and Asana are all more expensive. Reviewers agreed with me about the robust customization and collaboration and affordable price. They also noted that the free version is limited and that the setup is complex and takes time.

All in all, I’d say Zoho Projects is an excellent, affordable option for users who deal with complex projects and have the time and access to tech resources to properly implement and customize the system.

Importing issues in bulk keeps them all in one place, and you can then export them as an XLS or CSV file. Track all issues according to criteria using filtered views. View committed changes with all changeset details included. 

See It In Action: Time Tracking

With big-name features like automation and workflow management always hogging the limelight, more humble (yet, no less integral) features like time tracking rarely get their due.

In light of the rave reviews this feature got from users I reached out to, I sought to correct this injustice. In this scenario, I tracked time on multiple tasks for a couple of hours over two days to try to generate a breakdown of billable hours for a client project.

For starters, I liked how easy it is to track time in the card by clicking the timer icon on the top center.

I loved the notes section. It was so easy to add what I spent the time on, great for predicting project timelines and keeping track of work allocation.

I scrolled down to the time log to track all the entries I made in the card and edited the notes. Since even the best of us can forget to turn on the timer (or turn it off), I wanted to see how easy it is to edit the log hours.

It’s fairly straightforward to add hours, but you do have to type out all the digits. For example, I couldn’t just type in one and have the hour show up as a drop-down like some other solutions — I had to type out 01:00 manually.

Next, I wanted to look at the big picture. The panel on the left is pre-programmed to show timesheets. Once I clicked on the icon, I could further filter the timesheets according to date, user or custom requirements.

I created a custom view for billable timesheets using the dropdown menu and logic, which I imagine would be quite helpful for invoice creation.

Next up, was testing its exportability, so to speak. If you select the three dots on the top right, you’ll get the option to export the timesheets as a XLSX or CSV file with multiple filters or as a PDF. I received an email when the Excel file was ready. It looks quite basic, compared to the PDF export below, but works better at transferring data.

I found the in-built reports for timesheets slightly underwhelming, but overall thought the in-card timer, notes, logs and export options were great for better work allocation, time estimates and billing.
