Our analysts did hours of research and reviewed hundreds of data points to score Airtable an 84 based on our project management feature requirements, putting it in sixth place on our leaderboard. It was best-in-class for platform security. Though some users noted challenges with the initial set up and a steep learning curve, they loved Airtable once they got into the swing of things. They mentioned a great user experience, customization, automation and API documentation. However, they also noted that the free features are limited and AI and paid plans can get expensive. For reference, Airtable pricing starts at $24 a head, per month. **Our Research Process for Airtable** The first step in my research process was getting ahold of a free trial. Although Airtable offers a freemium version, multiple reviews said the paid plan unlocks its true potential. Armed with a 14-day trial of the team plan, I got to work. I posed as a mid-sized team of 20 to 50 users and applied the project management template. I set up workflows, added automations, created tasks and customized views. Right off the bat, I liked the options to customize your project on the onboarding screens based on industry, company size, use case and even your favorite color. You can’t fully preview the template you're going to use before you apply it, but I don’t think that matters too much as you’re basically going to build everything (and I mean everything) in your bases to meet your unique requirements. The project management template is very in-depth. Some are more basic like the content creation template. Once you apply the template, you go straight into the work interface. I got to work fiddling around with tasks and views. However, with a little help from YouTube videos, I realized that was, in fact, not where I needed to be to set things up properly. After course correcting, I went back to the home page and into the template base where I could see the grid view and custom field additions I was hunting down. So, not exactly an intuitive setup. I like that you can import data from Excel, Sheets or CSV files — it definitely speeds up the implementation process. Once I got through the onboarding steps in the bases, moving to the interface and managing multiple projects and tasks while adding dependencies, assignees, comments and links was a breeze. It was extremely simple to customize the views in the base. For example, to sort tasks by priority or assignee instead of status. Of course, you have access to all the usual suspects — Kanban, Gantt (schedule) or roadmap — and I liked that you can toggle between those views (including your custom views) quickly with the side panel. The roadmap view is like a high-level portfolio view, which I thought was great for larger organizations and multiple projects. Insights are a great dashboard view of status breakdown, workload and utilization. I liked that you can filter by some projects, all projects, some assignees or one assignee. On the other hand, automations, although robust, are quite complicated without context from YouTube tutorial videos. I definitely couldn’t have winged a simple automation for say, status change notifications without a little training. Overall, Airtable is an excellent project and work management system that is extremely customizable and flexible, especially if you have multiple complex projects and the resources to spend on training and paid plans. ## Key Features * **Bases:** Based on databases that are similar to spreadsheets, each base supports multiple tables. You can view the information in each table in several ways to create content calendars, product roadmaps and event plans, among others. * **Blocks:** Blocks add functionality to bases, letting users build workflows that fit your team’s needs. The WYSIWYG editor lets users create a host of layouts and interactive interfaces, such as timelines, charts, time trackers, pivot tables, 3D model explorers, page designers and countdown clocks. It also gives you the ability to send group SMS messages or connect via video chat. * **Templates:** Out-of-the-box templates cover the gamut of project types and are suitable for different departments and use-cases. Choose from categories like content production, creative, event planning, marketing, project management and more. * **Layout Configurations:** Visualize project details using four different views: Kanban, grid, calendar or gallery. The grid layout provides an overview of different tasks that include priority level, department, deadline and other elements. Kanban and gallery views have similar functionality but are more visual and less detailed. Calendars display tasks based on deadlines for a visual overview. * **Integrations & Extensions:** Integrate with popular apps, including other project management tools like Asana and Trello and connect natively with Zendesk, Box, Evernote, G-Suite tools, GitHub, Dropbox and others. Use Zapier for extended capabilities to configure integrations with more than 1,000 apps and websites. * **View Data:** Create different views for different cases. Grouping, sorting and power filtering gives you the right view for your content that you can then save for easy access. * **Airtable Apps:** Airtable marketplace has over 50 pre-built apps. For example, the Gantt app helps users tackle project dependencies and visualize progress and the Page Designer app helps users pull data to create slides, catalogs and invoices. ## See It In Action: Build a Workspace With AI Sometimes, getting started on building a workspace from scratch requires as much nerve as finally sending that email asking your mean boss for two weeks’ PTO. Now, Airtable promises AI is gonna do the grunt work for you by building your very own custom app — if you just said, “What? Really?” you’re not alone. I was in the same boat. So of course I had to try it out for myself. Here, you can add additional documents or tweak the description of the app if you’re not completely happy with how the AI interprets your needs. Missing something? Fear not — you can add additional workflows as needed. I created the content monitoring app and put on my critical lens to comb through it for faults. For starters, I didn’t like that the approval tab had a gallery visualization. Although Airtable offers a freemium version, multiple reviews said the paid plan unlocks its true potential.Armed with a 14-day trial of the team plan, I got to work. I posed as a mid-sized team of 20 to 50 users and applied the project management template. I set up workflows, added automations, created tasks and customized views. I also used our analyst scores to see where Airtable excelled compared to Asana, Smartsheet, Teamwork and Jira.There is a bit of a learning curve for the setup, so I headed over to the help center and watched a couple of YouTube videos to make sure I was well-prepared. You can’t fully preview the template you're going to use before you apply it, but I don’t think that matters too much as you’re basically going to build everything (and I mean everything) in your bases to meet your unique requirements.The project management template is very in-depth. Some are more basic like the content creation template. Once you apply the template, you go straight into the work interface. I got to work fiddling around with tasks and views.However, with a little help from YouTube videos, I realized that was, in fact, not where I needed to be to set things up properly. After course correcting, I went back to the home page and into the template base where I could see the grid view and custom field additions I was hunting down. So, not exactly an intuitive setup.I like that you can import data from Excel, Sheets or CSV files — it definitely speeds up the implementation process. Once I got through the onboarding steps in the bases, moving to the interface and managing multiple projects and tasks while adding dependencies, assignees, comments and links was a breeze.It was extremely simple to customize the views in the base. For example, to sort tasks by priority or assignee instead of status. Of course, you have access to all the usual suspects — Kanban, Gantt (schedule) or roadmap — and I liked that you can toggle between those views (including your custom views) quickly with the side panel. The roadmap view is like a high-level portfolio view, which I thought was great for larger organizations and multiple projects.Insights are a great dashboard view of status breakdown, workload and utilization. I liked that you can filter by some projects, all projects, some assignees or one assignee. On the other hand, automations, although robust, are quite complicated without context from YouTube tutorial videos.
