From what I’ve seen, Insightly’s a great fit if you want a CRM that’s easy to use and doesn’t take a ton of time to set up or manage. It’s ideal for growing teams that need a straightforward solution to keep sales and operations on the same page without getting bogged down in complexity.

When I tested Insightly, what stood out to me was how naturally it connects sales with post-sale execution. Unlike many CRMs that stop at deal closure, like Pipeliner or Zoho CRM, I could turn closed-won opportunities into fully trackable projects, all within the same workspace.

This built-in project management made the whole process feel more connected. I didn’t have to jump between tools, and everything stayed linked to the original customer record — a big win for teams juggling both sales and execution.

Another area where Insightly shines is automation. Its native AppConnect platform allows you to build automations and integrate apps like QuickBooks, Slack and DocuSign without coding. Compared to Salesforce Sales Cloud, which often depends on external tools or developer support for similar workflows, Insightly feels more accessible, especially for smaller teams without dedicated IT help.

However, Insightly isn’t without its limitations. I found the interface clean and easy to navigate, but if you want deep customization or advanced reporting, it doesn’t go nearly as far as something like Salesforce. And while onboarding was fairly smooth, it felt a bit bare-bones to me. Unlike Zoho CRM, which walks you through setup with helpful prompts and templates, Insightly left me figuring out a lot on my own.

**Here’s my take:** If you’re looking for a platform that not only helps you close deals but also sees them through to delivery, Insightly is a great option. It’s especially suited for service-driven businesses that want CRM and project tracking in one place, without juggling multiple tools or paying enterprise prices. That said, if you need deep customization, advanced automation or more guided onboarding, you might be better off with something like Salesforce or Zoho CRM.

## See It in Action: Convert a Closed-Won Opportunity Into a Project

I wanted to see if Insightly’s workflow was connected and easy to manage. Here’s what I did to test it out:

  
1\. My first stop was a clean dashboard where everything, from Opportunities to Projects, was easy to find. From the “Opportunities” tab, adding a new opportunity was a quick process, and it appeared instantly once saved.

I clicked the three-dot menu at the top right of the record and selected “Convert to Project.” The project form was auto-filled with key details from the opportunity so I didn’t have to re-enter the data. I reviewed the information, made minor edits and hit save. I appreciated that it was a smooth, one-click process.

4\. I jumped to the Projects tab and immediately saw the new project listed. It was linked to the original opportunity, and clicking into it showed the full context.

5\. Task creation was straightforward. Within the project, I opened the Tasks section and clicked “Add Task.” I was able to name the task, set a due date and add an assignee from the dropdown. I appreciated that there weren’t extra steps or required fields beyond the basics.

* Unlike platforms such as Zoho or Pipeliner, Insightly lacks dedicated partner management features like partner portals, tiered tracking or co-selling workflows — placing it at the bottom in our analysis for this category.
* Insightly came in low at 45 in our sales performance management analysis, primarily because it offers limited tools to track quotas, measure team performance and surface real-time insights — things Pipeliner (99) handles exceptionally well.
* Task management is basic and lacks drag-and-drop Kanban boards.
* Support for multiple currencies and language localization is limited compared to comprehensive CRMs like Salesforce and Zoho CRM.

It’s ideal for growing teams that need a straightforward solution to keep sales and operations on the same page without getting bogged down in complexity.When I tested Insightly, what stood out to me was how naturally it connects sales with post-sale execution. Unlike many CRMs that stop at deal closure, like Pipeliner or Zoho CRM, I could turn closed-won opportunities into fully trackable projects, all within the same workspace.This built-in project management made the whole process feel more connected. I didn’t have to jump between tools, and everything stayed linked to the original customer record — a big win for teams juggling both sales and execution.Another area where Insightly shines is automation.
