* **Selecting products to score:** We define the category scope, including what features should be included for this type of software. Our analysts identify all products that fit the defined scope, then narrow down to 15 based on market presence, user ratings, feature comprehensiveness, and category fit.
* **Default scoring process:** Our analysts complete a 100+ question RFI for each product using publicly available data from user reviews, product demos, documentation, vendor websites, and case studies.
* **Verification program:** Vendors can pay for our analyst-led verification service. Their product team submits responses to our standard category RFI, which our analysts then independently review and validate.

After two weeks of testing eMaint, I can confidently say that it gives you a ton of control over how you manage maintenance, assets and inventory.

eMaint allows you to bulk import asset and inventory data. But if you’re importing for the first time, expect to spend a few minutes getting everything mapped correctly.

Once your data is in the system, exporting is easy. You can download information in CSV or PDF formats, making it simple to share with other teams.

And if you get lost, you’ve got eMaint University, guided walkthroughs and documentation to help you get back on track. It felt like having my own little magical guide to get me over any hurdles that came up (without the need for a ticket to Hogwarts).

Right away, I loved the dashboard. There are two versions, X5 and Dashboard 2.0, both of which are customizable to your heart’s content. You can tweak layouts and add widgets to track whatever data matters most. Create as many dashboards as you want and tailor them for different roles: requester, technician, work orders and more.

If you love having everything just the way you like it (like me, who adjusts my coffee-to-milk ratio with scientific precision), you’ll appreciate this level of control.

Another feature that adds a lot of flexibility is the ability to drill down into assets, parts, and purchase and work orders. You can set up a hierarchical structure and navigate through different levels of details, making it easier to find exactly what you need without endless scrolling.

Now, let’s talk about work orders, because this is where eMaint really shines. Creating, assigning and tracking work orders is smooth. You can attach labor requirements, procedures and parts from the same screen, which is great because nothing kills productivity like jumping between menus.

Another thing I appreciated is you can set default values for work orders, so every time you create one, it pre-fills certain fields based on your preferences. Little conveniences like these add up.

One small caveat, you can’t save a work order as a draft. For simple work orders, this isn’t a huge deal, but it’s an issue for anything that requires gathering details from different places.

That said, here are some other work order features I liked:

* **Multi-Asset Work Orders:** Instead of creating separate work orders for every asset, you can group multiple assets under one work order, which is incredibly useful.
* **Copy Existing Work Orders:** If you frequently perform similar maintenance tasks, you can duplicate past work orders instead of starting from scratch every time.
* **Work Request Portal:** Staff can submit work requests through a dedicated link. You can approve or reject requests from within the system.

If your team relies on preventive maintenance (PM), you’ll love eMaint’s work order scheduling tools. You can schedule nested PMs, view work order projections two years in advance and drag and drop tasks on the calendar to resolve scheduling conflicts.

One heads-up, though: you can’t create new task procedures while scheduling PMs. You have to set them up ahead of time in the task library, which means a little extra prep work upfront. If you like having everything structured in advance, this won’t bother you. But if you like making quick changes as you go, it could slow you down a little.

There was one feature I was really curious about but couldn’t fully test: external trigger work orders. eMaint integrates with Fluke, Teletrac Navman and other sensor systems, meaning if a sensor picks up an issue — say, overheating equipment — it can automatically generate a work order.

eMaint handles inventory and purchase orders really well. You can track parts with barcodes, set reorder points and even automate purchase orders when stock runs low.

And if a supplier sends you fewer parts than expected, once you update the stock count, eMaint automatically changes the status to “partially received,” saving you from manually tracking discrepancies. You can also return faulty items from within the platform.

One of the system’s standout features is interactive plans, which lets you overlay maintenance data onto floor plans, schematics or site maps. You can place interactive pins on these images to quickly access asset details, work orders and inventory records. This is particularly useful if you need to manage multiple assets spread across different locations.

You can even assign color-coded pins like marking out-of-order assets in red which makes spotting issues incredibly fast.

Small features can sometimes make or break a system and eMaint has a few gems. One of my favorites is the eyeglass icon on the sidebar. It lets you jump back to whatever record you were last working on, saving you time when you’re switching between tasks.

Another one is the global search bar. If you type something like “HVAC,” it groups everything related to it in one place — work orders, assets, purchase orders, requests and more. It’s a small detail, but it makes finding things a lot easier.

Beyond my own testing, I also looked at real-world case studies to see how businesses are using eMaint. Here’s what I found:

* **Work Order Management:** Build reusable work order templates with preset tasks, safety checks and required fields — so every technician has what they need, every time. Got a task that spans several machines or rooms? You can group multiple assets into a single work order. Set up rules to automatically generate work orders based on time, usage or sensor alerts.
* **Route-Based Inspection Work Orders:** For tasks like weekly fire extinguisher inspections, you can create a recurring work order that includes a list of all the locations or assets to be checked in sequence. Technicians follow this predefined route, inspecting each item one by one, marking off completed checkpoints and recording any issues they find.
* **Preventive Maintenance Scheduling:** Schedule maintenance by time, usage or equipment condition. Even set it to kick off a certain number of days after the last task is done. Add pass/fail checks or step-by-step instructions to make sure everyone follows the same process. Use the drag-and-drop calendar to assign tasks, reschedule on the fly and spread work across your team.
* **Inventory Management:** Easily search for parts by name, number or description and assign them to work orders. To avoid running out of important parts, the system alerts you when stock falls below your set limits. Plus, you can identify slow-moving parts to adjust orders and keep costs in check. If one site is out of stock, quickly find and request parts from another.

Before diving deeper into its features, take a quick look at its pros and cons.

UpKeep’s automation capabilities quickly became one of my favorite features during testing. The preventive maintenance triggers, which you can set based on calendars or meter readings help reduce unexpected breakdowns. For example, I set up a trigger that automatically creates a work order for HVAC maintenance every six months. Simple and effective.

I also loved the workflow automation. Creating "if-this-then-that" rules made repetitive tasks a breeze to manage. For instance, I set up a rule that automatically assigns emergency work orders to the most experienced technician, ensuring critical issues were resolved quickly and efficiently.

The work order system had me hooked from the start. Creating a work order was as simple as clicking a button, and I could track every step, from assignment to completion. When I simulated an overheated motor on a production line, it was quick to create and assign a work order, track progress and close it out once it was resolved.

Inventory management stood out too. I uploaded sample data to test how the system tracks parts, costs and reorder points, and it didn’t disappoint.

I didn’t have access to a barcode to scan to test how it helps update inventory. But from the looks of it, it seems pretty straightforward. Scan the barcode and edit your inventory details in a few clicks.

Asset management was another highlight. You can track every piece of equipment, from large conveyor belts to hand tools, and keep an eye on their condition and maintenance schedules.

You can also integrate directly with [Slack](https://www.selecthub.com/p/project-management-software/slack/) and [Microsoft Teams](https://www.selecthub.com/p/business-phone-systems/microsoft-teams/) for streamlined communication. It also connects with 5,000+ apps through Zapier, automating workflows. For further customization, the API and webhooks allow for building unique integrations.

Of course, no system is perfect. With so many features, it took me a while to wrap my head around everything. I also found the workflow customization options a bit limited for complex setups, and the pricing could be a hurdle for smaller businesses.

Overall, after spending over 30 hours with UpKeep, I can confidently say it’s a powerful tool for streamlining operations. While it has a learning curve, the value it brings to managing work orders, inventory and assets makes it well worth exploring.
