With an analyst rating of 87, Zoho is one of the top CRM products in the market, according to our research, right alongside industry heavyweights like Salesforce and ahead of CRM giants like HubSpot and Oracle Sales Cloud.

Here's how [Mistras Group](https://www.zoho.com/crm/customers/mistras-group.html), a multinational asset protection provider, improved its sales processes with Zoho. They tackled inconsistent record-keeping by implementing standardized workflows, hierarchical roles and custom modules in Zoho CRM. The transition helped them capture customer information, specifically during trade shows, using Zoho Scanner while setting clear workflow rules for timely updates and accurate reporting.

During the test run of their free trial, I loved working with standout features like the customizable dashboard, automated lead creation via the email parser and drop-down linking for account, product, lead and quote creation. 

Zoho’s AI assistant, Zia, recommends product matches for users based on the behavioral patterns of all customers. You can control the AI’s recommendation model. Set one up from scratch or use a predefined option.

Zoho’s mobile app is just as powerful as the desktop version, giving you access to all its features on the go. Plus, it has in-depth reporting capabilities, which can help identify improvement areas. However, I found that these reports, while extensive, might not be as visually appealing as the graphs and infographics you’d find on other platforms like HubSpot.

If you’re looking for an all-in-one CRM that does pretty much everything, you can’t go wrong with Zoho CRM. According to our data, it fully supports 86% of key CRM requirements out of the box. And only 5% aren’t supported at all. In fact, it fully supports more features out of the box than CRM juggernauts, Salesforce (81%) and HubSpot (80%).

Despite delivering a ton of helpful features, Zoho CRM does lack a few tools, according to our research. It doesn’t offer mobile push notifications. If you need a system to manage contracts and quotes, you’ll need to connect with other platforms, such as Zoho Contracts and Zoho Subscriptions, each of which costs extra. Zoho CRM also doesn’t integrate with CPQ solutions.

Users report a learning curve associated with full feature utilization and customization. Additionally, some advanced features and functionalities require upgrades to higher tiers, making it expensive for smaller teams. Overall, Zoho CRM offers an interoperable solution for businesses looking for a customizable, affordable CRM platform.

After getting our hands on HubSpot Sales Hub, we found it extremely easy to use, thanks to the helpful guides and support materials. We believe the Sales Hub is the best part of HubSpot overall.

The [contact management](https://www.businessnewsdaily.com/16186-what-is-contact-management.html) feature is one of my favorites. It allows you to store and manage all your customer information in one place. You can easily organize and segment contacts, track their interactions with your business, and gain insights into their behavior and preferences.

[NTUC First Campus](https://www.hubspot.com/case-studies/ntucfirstcampus) (NFC), one of Singapore's largest early childhood education providers with over 180 centers and 5,000 employees, struggled to manage customer leads and inquiries. Their teams had trouble tracking parent inquiries from various channels, leading to cold leads, poor customer satisfaction and inefficient workflows.

After choosing HubSpot to integrate their marketing, sales and support operations, NFC transformed their entire process with automated workflows that now track over 50,000 annual leads. The results have been impressive — a double-digit percentage increase in enrollments, at least 5,000 hours of productivity gains for enrollment advisors, and significantly improved collaboration between marketing and sales teams.

One of the standout capabilities of HubSpot is its ability to automatically capture and track website visitors and turn them into leads. Its free [website builder](https://www.hubspot.com/products/cms/drag-and-drop-website-builder) is a powerful tool for small businesses, as it allows you to create and manage a professional-looking website with advanced marketing features.

The email marketing capabilities are truly second to none. You can set up automated email campaigns that nurture leads through the sales funnel. Also, you can create targeted content and messages that are sent based on a lead’s behavior, interests and stage in the buying journey. It may seem complex initially, but you’ll see that HubSpot’s email marketing engine operates as effectively as dedicated email marketing platforms.

I highly appreciate HubSpot’s reporting capabilities. You can choose from a variety of ready-made reports and organize them into separate dashboards. Even the free plan includes multiple dashboards and up to 30 reports. Compared to other email and contact management tools, the data is really easy to read.

However, there are some downsides. The main one is the cost. While HubSpot offers a free version that many find useful, it can get expensive quickly if you need more advanced features. We found that it can end up costing more than similar tools when you add all the extras you need.

Another consideration is that while HubSpot has most of the features you'd want in a sales tool, some common ones are only available in the more expensive plans. This can be challenging for small businesses.

Overall, HubSpot Sales Hub offers significant advantages for medium to large enterprises. We advise you to think carefully about what features you need and how much you're willing to spend before committing.

Real-time notifications alert you when prospects open emails, and the system helps you set follow-up reminders.
* **Native iOS and Android Apps:** The mobile app allows you to access and update CRM data, schedule meetings and collaborate with team members while on the go.
* **Data Visualizations:** You can generate interactive, drill-down visualizations in various formats, including bar, line, funnel, table, column, donut and pie charts.

After testing Creatio, I've discovered it's much more than just another CRM platform. It's an advanced Business Process Management (BPM) system with CRM capabilities baked in. I especially appreciated the modern, next-generation UI.

From a customization standpoint, I found the no-code tools surprisingly intuitive. I was able to learn how to customize the solution myself without constantly needing technical support, which was a huge plus. That said, for more complex applications, you'll still want an IT team on standby.

[Namu Travel Group](https://www.creatio.com/page/customer-success/namutravel), Central America's leading online travel agency with 24 years in business, has been using Creatio's no-code platform since 2015 to improve how they work. After the travel industry recovered from the pandemic, Namu Travel needed to move quickly to meet growing customer demand. They switched most of their processes from code-based to no-code, which helped teams work better together and respond faster to customers.

The platform lets them automatically sort leads, send reminders, process sales opportunities and generate reports without needing developers. Namu Travel's marketing team uses the system to manage leads across different channels and personalize messages, which has helped them stay ahead of competitors and serve over 25,000 travelers yearly.

The system's flexibility is visible in how it handles business processes. I was impressed with the campaign features — even complex marketing campaigns were surprisingly manageable. The bi-weekly updates from the vendor kept things running smoothly, quickly addressing the few minor bugs I encountered along the way.

However, I did face some challenges worth noting. Load times were occasionally frustrating, with some pages taking longer than expected. I also ran into some reliability issues with the scheduled emails feature, which sometimes failed to send as planned. These might not be deal-breakers for many, but they're worth keeping in mind.

The platform's depth is a striking aspect. While everyday users might pick up the basic interface quickly, I found myself occasionally overwhelmed by the sheer number of features and customization options available. The tools are incredibly useful but potentially daunting if you're new to it.

Creatio's commitment to user feedback is commendable. Their continuous platform improvements based on user suggestions show how they're serious about evolving with their customers' needs. The extensive third-party integration options were impressive, though I noticed most of them required additional providers to set up.

In general, Creatio is a strong yet flexible platform that might be overkill for simple CRM needs but really shines when you need comprehensive business process management with CRM capabilities. While there's definitely a learning curve, the payoff in terms of functionality and customization options makes it worth considering for organizations ready to invest the time.

* **Self-Service Portal:** Customers Give your customers control through a comprehensive self-service portal. They can search the knowledge base for answers, submit and monitor support cases, and maintain direct communication with your support team through the portal's feed feature.

After testing Dynamics 365 Sales, I have mixed feelings about this CRM. Setting up the free trial was challenging. Since Dynamics 365 is an expansive ecosystem, configuring the environment and assigning user roles and permissions was complicated.

On the positive side, the Microsoft ecosystem integration is seamless. The platform connects easily with Teams, Outlook and other Microsoft tools, creating a unified working environment. Copilot, Microsoft's AI assistant, is quite helpful – it summarizes records, schedules meetings and makes information more accessible.

For businesses considering Dynamics 365 Sales, [EPAM](https://www.epam.com/)’s experience offers a real-world example. With over 50,000 employees across 55 countries, they switched from an outdated on-premises Dynamics CRM to Dynamics 365 Sales to unite their global sales team.

Previously only 70% of teams used the system, while others relied on disconnected tools like Jira and HubSpot, making it hard to track sales funnels. After going live in June 2023 with 600 trained users, EPAM adopted Microsoft Copilot for Sales, reducing administrative tasks and giving reps more time for customer interactions — leading to early improvements in sales outcomes.

You can customize the system to handle most business requirements, though this often requires technical expertise. For large enterprises with IT resources, this flexibility is valuable.

Cost-effectiveness varies greatly by organization size. For companies with fewer than 5,000 contacts, the difference between Dynamics 365 and more affordable CRMs may not justify the premium price. The licensing structure is also notoriously complex, often requiring guidance from certified partners.

Technical glitches were unfortunately common throughout my testing. For example, the Email Engagement feature was missing from the desktop version but accessible through the mobile app. This inconsistency was confusing.

The system runs noticeably slow, with considerable lag when switching between tabs or accessing different workspaces. For a premium-priced solution, this was particularly disappointing.

At first glance, the user interface appears simple and clean. In reality, many functions are hidden within nested menus, making navigation problematic. The learning curve is steep, likely requiring extensive training to fully implement the platform's capabilities.

I noticed some practical limitations as well. There's no built-in reminder option for pending tasks, and duplicate leads occur frequently. Users report that customer support is difficult to access and slow to resolve issues, with the system apparently favoring certified implementation partners for support access.

Dynamics 365 Sales is a powerful but complicated CRM that’s ideal for larger organizations with technical resources and implementation partners. While it offers a variety of features and excellent Microsoft ecosystem integration, its performance issues, complex interface and setup difficulties make it less suitable if you run a smaller business or want an intuitive, out-of-the-box solution.

* **Quotes and Order Management:** When converting quotes to orders with a single click, the system automatically transfers all contents to the order record while simultaneously closing the original quote for clean record-keeping. Whether creating quotes directly from opportunities with prefilled details or manually generating orders by specifying customer information and price list details, the entire process remains fluid and interconnected.
* **Sales Forecasting:** Through customizable forecast configurations based on revenue or quantity, you can define the forecast type, hierarchy, access permissions and specific details in the forecast grid for maximum relevance. After activation, your entire sales team gains visibility into revenue projections, quantity estimates and pipeline forecasts, with additional API options available for uploading specialized forecast data when needed.

I tested out Freshsales’ Enterprise plan to get a close look at what this CRM can really do. The platform feels like it's built with product sales in mind, which means you’ll have to get creative about fitting a service-based business into its framework.

Freshsales gave me exactly what I needed without drowning me in unnecessary features. Making calls and sending SMS directly from the system was super convenient, and the dialer tracked everything automatically, which saved me tons of time.

But it wasn't all smooth sailing. The configuration settings are scattered everywhere and hard to navigate. I found myself clicking through way too many steps to do simple tasks. The online help documentation didn't always match what I was seeing on the platform, which made learning the system even trickier.

For task management, I'm used to a Kanban board to visualize my workflow, but Freshsales doesn’t support it. Another small but annoying issue is that the system doesn't remember my previous contact searches, so I'm constantly retyping names.

On the bright side, the web app is clean and functional. I could easily track deals, manage product information and see my team's activities. The platform gives a straightforward way to manage sales without any unnecessary complexity.

If you're a sales team that sells products and doesn't mind adapting to a somewhat rigid system, Freshsales could be a good fit. It requires some patience and creative thinking, but it offers a focused approach to sales management that cuts out the fluff.
