## FAQs

[What AI features should I look for in facility management software?](#group%5F157)

Look for AI-driven tools that go beyond automation and actively help you reduce costs, downtime and manual workload. Key features include:

* **Predictive Maintenance:** Uses sensor data (like vibration or temperature) to forecast equipment failures and suggest preventive actions.
* **Smart Work Order Scheduling:** Assigns tasks based on priority, technician availability and past performance data.
* **Energy Optimization:** Identifies trends in energy usage and recommends cost-saving adjustments to lighting, HVAC and more.
* **Anomaly Detection:** Flags unusual asset behavior (e.g., abnormal runtime or temperature spikes) before it becomes a problem.
* **AI-Powered Chatbots:** Some platforms offer voice or text-based ticket submissions using Natural Language Processing (NLP) for faster issue reporting.

[How do I evaluate whether the AI in a facility management platform is actually useful?](#group%5F931)

Not all AI claims are equal. Some tools rely on basic rule-based automation rather than true machine learning. To assess the value, ask vendors these questions:

* Does the AI learn from our specific facility data over time?
* Can it make real-time suggestions or only generate historical reports?
* Will the AI improve task prioritization or just auto-fill templates?
* Can it integrate with sensors or IoT systems?

[How can I evaluate the software’s impact after implementation?](#group%5F683)

Choose a system that provides baseline tracking and KPI benchmarking. You should be able to measure improvements in asset uptime, response time, labor cost per work order and preventive vs. reactive ratio. Look for software that lets you export custom metrics or integrates with [BI tools](https://www.selecthub.com/c/business-intelligence-tools/) like [Power BI](https://www.selecthub.com/p/business-intelligence-tools/power-bi/) or [Tableau](https://www.selecthub.com/p/business-intelligence-tools/tableau/) for in-depth analysis.

## Importance of Requirements Gathering: Our Research Analysts’ Insights

I spoke with two of our research analysts, Kankana Kalita and Sandesh Sindhri (Head of Software Solutions and Technology Research), to understand why requirements gathering is such a foundational part of choosing the right facility management software.

They told me this step can make or break a project. Here’s what they had to say about how detailed, structured requirements make a real difference:

**Clarify Functional and Technical Needs Across Departments**

Your facility has its own unique workflows from maintenance and inventory to compliance and space management. A structured set of requirements helps you capture what each department really needs to operate efficiently. It also ensures your chosen software supports those needs functionally, technically and in terms of integration with other systems.

**Avoid Rework and Mid-Project Surprises**

When your requirements are vague or incomplete, you may discover halfway through implementation that a critical feature is missing. By clearly defining what you need upfront, you reduce the risk of delays, unexpected costs and frustrating workarounds after going live.

**Plan Resources, Budget and Timeline More Accurately**

With a well-documented requirement set, you can estimate timelines, staffing needs and budgets with greater precision. This gives you a more realistic project plan and fewer surprises as things move forward.

**Align Stakeholders and Build Buy-In Across Teams**

Bringing different departments into the requirements process early ensures their voices are heard. That means fewer objections later and stronger support for the final decision. It also helps you align goals across teams from day one.

**Score Vendor Options and Identify System Gaps**

Once your requirements are prioritized and weighted, you can use them to build a scoring model. This helps you evaluate how well each software solution meets your needs and where your current system is falling short. You’ll have a clearer picture of which platform delivers the most value.

**Structure Your Demos and RFP with Purpose**

Your requirements list isn’t just for internal use, it can double as a demo script to help you evaluate products side-by-side. If you’re issuing an RFP, it becomes a ready-to-go template for vendors to respond to, making their proposals easier to compare.

**Future-Proof Your Software Selection**

Your requirements shouldn’t stop at today’s needs. By including long-term goals like automation, new integrations or growth plans, you ensure that the software you choose can evolve with your organization, not hold it back.
